Corporate Events Hybrid Clinical Meeting

The Project

CEI EMEA team was selected to produce an investigator meeting during an international scientific conference at CCIB. The event was hybrid, blending 30 live delegates and 150+ virtual attendees.

The Brief

As the first live clinical meeting for our global customer after a long stretch of virtual gatherings, CEI managed:
  • Creation of stream graphics for client's preferred virtual platform
  • Designing of a welcoming and professional AV experience, in line with company branding
  • Offering sustainable and flexible solutions to meet the complex needs surrounding a large congress
  • Providing best in class support to all 7 presenters, including 2 chairs, 5 live and 1 remote presenter

Our Role

CEI managed set and scenic, technical crew, virtual creative services, lighting, filming, stream feed, and video editing. We leveraged local resources, such as crew, LED signage and equipment to reduce travel, printing and shipping needs. Maintaining a flexible approach was important in order to accommodate all presenters with tech rehearsals while they balanced full speaking schedules and other conference engagements.

The Outcome

The hybrid meeting ran smoothly and was well received by virtual and in person attendees, and resulted in excellent ratings from our client -- including a Likelihood to Recommend score of 10 out of 10.
